Thank you for choosing Desire Adventures as your trusted travel partner in Nepal. We are fully licensed and registered under the Tourism Board of Nepal, with an experienced team of management professionals, Sherpas, guides, and climbing experts dedicated to delivering safe and memorable experiences.

Please read these Terms and Conditions carefully before making any booking. By completing a booking with Desire Adventures Pvt. Ltd., you confirm that you have read, understood, and agreed to be legally bound by these conditions.

1. About the Company

Desire Adventures Pvt. Ltd. is registered under various departments of the Government of Nepal and is a member of the Nepal Tourism Board.

The term “Trip” used throughout this website and in these booking conditions refers to all itineraries described on this website, including but not limited to: walking tours, treks, day trips, sightseeing tours, climbing expeditions, mountaineering expeditions, and holidays.

2. Booking & Confirmation

To confirm a booking, the following is required:

• A completed and signed Booking Application Form
• A non-refundable booking deposit of 15% of the total trip cost per person

The booking deposit is non-refundable under all circumstances. The booking is only confirmed once the Company has received both the completed form and the deposit payment.

The remaining balance of 85% of the total trip cost is payable upon arrival in Kathmandu, before departing for the trip destination. Final trip documentation, permits, and detailed itineraries will only be released after full payment has been received.

3. Payment Options & Methods

We accept the following payment methods:

• Bank Wire Transfer
• Credit Card — Visa, Mastercard, American Express, UnionPay, JCB, SCT Card
• Cash — payable on arrival in Kathmandu (remaining balance only)

Bank Wire Transfer Details

Note: All bank service charges and wire transfer fees are to be borne by the client.

Credit Card Surcharge

A 3.5% surcharge applies to all payments made via credit card. This surcharge applies to all payment types including deposits, final balances, trip extensions, and miscellaneous purchases. The charge is imposed by the credit card payment provider.

Single Room Supplement

An additional cost applies for single room supplements:

• USD 100 for trips up to 10 days
• USD 150 for trips exceeding 10 days
• USD 200 for climbing and expedition trips

4. Cancellation Policy

All cancellation requests must be submitted in writing to Desire Adventures Pvt. Ltd. The following cancellation policy applies:

No refunds will be issued if a client voluntarily leaves the trip for any reason after the departure date. No refunds will be made for any accommodation, transport, meals, sightseeing, or services not utilized.

Cancellation Due to Force Majeure

Under unavoidable circumstances including but not limited to natural disasters, canceled flights, strikes, industrial action, wars, riots, quarantine, government intervention, extreme weather, pandemics, or any other unforeseeable events beyond the Company’s control:

• The 15% booking deposit remains non-refundable but is reusable toward an alternative trip of equal value or the same trip in the immediately following season
• The remaining 85% of the trip cost, if already paid, will be refunded less any applicable government taxes (up to 13%)

The Company reserves the right to cancel any trip that has not yet reached minimum participant numbers. A trip is guaranteed to operate once a minimum of two fully paid travelers are confirmed, unless otherwise stated.

5. Trip Amendments

If you wish to amend your booking, the following fees apply:

• 60 or more days before departure: USD 50 per person amendment fee
• Less than 60 days before departure: Cancellation policy rates apply
• Changes to ancillary arrangements (hotels, transfers, etc.): USD 20 administration fee per change, per booking, in addition to any charges from third-party providers

Amendments requested within 10 days of departure may not be possible. Where late amendments can be accommodated, a minimum fee of USD 50 per booking applies. If trip prices have changed between the original booking date and the amendment date, the revised price will apply.

6. Travel Insurance

Comprehensive travel insurance is mandatory for all clients traveling with Desire Adventures. Your policy must include, at minimum:

• Emergency medical coverage
• Medical evacuation and air ambulance
• Helicopter rescue services
• Trip cancellation coverage (strongly recommended)

You must carry proof of insurance (your insurance certificate) with you throughout the trip. If you cannot provide valid insurance documentation at the start of the holiday, you will be required to purchase a suitable policy at that time. Failure to obtain adequate insurance may result in denial of participation with no entitlement to a refund.

Please verify that your policy covers high-altitude trekking, mountaineering, and adventure activities, as some standard policies exclude or restrict such activities.

7. Passports & Visas

It is the client’s sole responsibility to ensure:

• Your passport is valid for at least 6 months beyond your trip completion date
• You have obtained the correct visas for all countries to be visited
• You carry all required travel documentation throughout the trip

Desire Adventures accepts no responsibility for clients refused entry to any country due to incorrect, expired, or missing documentation. Any costs incurred as a result of documentation issues are the sole responsibility of the client.

8. Health & Fitness Requirements

All participants must be in good physical health and fitness appropriate for the chosen trip. You are required to:

• Disclose any pre-existing medical conditions at the time of booking
• Consult your doctor prior to departure regarding vaccinations and medical requirements
• Obtain clearance from your physician if participating in high-altitude or strenuous activities

The Company reserves the right to request a medical certificate before confirming your booking or allowing departure. All medical and evacuation expenses are the sole responsibility of the participant.

Altitude Mountain Sickness (AMS): High-altitude trekking carries inherent risks of altitude sickness. The Company cannot be held responsible for any complications arising from AMS, as its occurrence is unpredictable and varies between individuals.

9. Weather & Unfavorable Conditions

Nepal’s mountain weather is highly unpredictable. Adverse weather conditions — particularly in the Everest, Jomsom, and Kanchenjunga regions — can cause domestic flight delays, rerouting, and trip modifications.

In the event of weather-related disruptions:

• The Company will cover accommodation and meals in the departing city before the trip
• The Company will cover accommodation and meals at standard trip rates for delayed return flights
• The Company reserves the right to reroute treks or substitute road transportation for extended flight delays without adjustment to the trip cost

The Company does not accept responsibility for costs arising from missed international flight connections due to domestic delays but will assist in arranging alternatives where possible, at additional cost to the client.

10. Facilities & Limitations

Nepal is a developing country in ongoing recovery from the devastating 2015 earthquake. Clients should be aware that accommodation, transportation, hygiene standards, communication facilities, infrastructure, and medical services may not meet the standards you are accustomed to at home.

Adventure travel inherently involves a level of personal risk. By booking with Desire Adventures, you acknowledge and agree to assume all risks associated with your chosen trip to the maximum extent permitted by Nepalese law.

11. Client Responsibilities

While traveling with Desire Adventures, you agree to:

• Accept the authority of the trip leader or local operator at all times
• Understand that group travel may require compromise to accommodate all members
• Comply with all laws, regulations, and customs of countries visited

The Company reserves the right to decline or remove any person from a trip at any time if their behavior or health poses a risk to themselves or others. No refund will be issued in such circumstances.

The Company will not accept responsibility for any client who violates any law or regulation of any country visited during the trip.

12. Third-Party Services

Desire Adventures contracts with a network of third-party companies, government agencies, and individuals to assist in the delivery of its trips. While the Company makes every effort to ensure these partners are qualified and reliable, Desire Adventures cannot be held responsible for any injury, damage, loss, delay, or irregularity caused by actions of third-party service providers.

13. What Is Not Included

Unless explicitly stated in your specific trip itinerary, the following are not included in the trip price:

• Personal travel insurance (medical, evacuation, and trip cancellation)
• International flights to/from Nepal and departure airport taxes
• Visa, passport, and vaccination fees
• Meals, transport, and accommodation not specified in the itinerary
• Personal items — laundry, postage, clothing, medications
• Emergency evacuation and search-and-rescue costs
• Gratuities and tips for guides, porters, and drivers
• Excess baggage charges

All airport transfers are included unless otherwise stated. Your meeting point will be the Desire Adventures head office in Kathmandu or a specified hotel as communicated prior to departure.

14. Accuracy of Information

While Desire Adventures makes every effort to ensure the accuracy of information provided on this website and in all printed materials, we cannot be held responsible for any inaccuracies. Trip details, prices, and itineraries are subject to change. We recommend confirming all details with our team before finalizing your booking.

15. Governing Law

These Terms and Conditions are governed by and construed in accordance with the laws of the Government of Nepal. Any disputes arising from or relating to these conditions shall be subject to the exclusive jurisdiction of the courts of Nepal.

No employee, representative, or agent of the Company has authority to vary these conditions, except the Chairman or Director of the Company, and only in writing.

16. Agreement

By completing a booking with Desire Adventures Pvt. Ltd., you confirm that:

• You have read and understood these Terms and Conditions in their entirety
• You agree to be legally bound by them
• You understand the nature and risks involved in your chosen trip
• You are physically and medically fit to participate
